Terms & Conditions
I’m so excited to help you plan the ideal trip. These Terms & Conditions (“T&Cs”) are designed to make sure everyone knows what to expect regarding everything from payments and responsibilities to refunds and liability. By booking with The Ideal, you agree to these terms.
For the purposes of these T&Cs, the term “The Ideal” shall refer to the The Ideal LLC and The Ideal CO LLC while the term “Client” shall refer to you and any other persons you involve in your engagement with The Ideal including, but not limited to, other travelers, family members, and advisors speaking or acting on your behalf or as an intermediary between you and The Ideal.
“Supplier” shall refer to any third-party service provider facilitating, supporting, or delivering services (including, but not limited to, transportation, accommodation, entertainment, and food service providers along with payment processors, marketing agents, technology service providers, etc.) as a result of Client engagement with The Ideal.
1. Scope of Services
The Ideal provides personalized travel planning services to the Client, which may include, but is not limited to the following, depending on the destination of travel and specific terms of the engagement:
- Researching and recommending destinations, accommodations, and experiences
- Booking transportation, accommodation, and activities (when requested)
- Providing guidance on travel insurance, passports, visas, and other documentation
- Creating detailed itineraries and travel guides
2. Payment Terms
- Deposits and full payment are due according to Supplier deadlines. These deadlines and amounts will be communicated to the Client at the time of booking.
- Late payments may result in penalties or cancellation of services at the Client’s expense.
- The Ideal is primarily compensated by payment of commissions from Suppliers delivering services to the Client.
- For certain travel plans and/or supplemental services, The Ideal may charge a Service Fee. In those instances, you will be notified of the Service Fee in advance and have the opportunity to proceed with or decline those specific travel plans and/or supplemental services.
3. Refunds & Cancellations
- Supplier cancellation fees are passed directly to the Client.
- The Ideal’s Service Fee, if applicable, is non-refundable once any agreed upon travel plans and/or supplemental services subject to a Service Fee have begun.
- Refunds are only issued as allowed by the Supplier or at The Ideal’s discretion.
4. Client Responsibilities
- Client is responsible for providing accurate personal information, travel documents, and health/safety compliance for all members of the travel party.
- Travel insurance is strongly recommended and may be required for certain bookings.
- Client is responsible for all decisions made regarding travel arrangements and any additional costs incurred.
5. Limitation of Liability
- The Ideal’s liability is limited to the fees paid by Client for our services.
- The Ideal is not liable for the Client’s dissatisfaction with Suppliers or outcomes due to Client selections or decisions.
- Personal property, health, and safety are the Client’s responsibility at all times.
6. Force Majeure
The Ideal will not be held responsible for delays, cancellations, or losses caused by events beyond our control, including but not limited to natural disasters, strikes, terrorism, pandemics, or governmental restrictions.
7. Dispute Resolution & Governing Law
- The Ideal and Client agree to first attempt to resolve any disputes through informal communication.
- If unresolved, disputes will proceed to mediation or arbitration in the state of Texas, with The Ideal and Client responsible for their own expenses.
- Any judgement resulting from mediation, arbitration or other legal mechanism or remedy remains subject to the limits of liability contained herein.
8. Intellectual Property
All itineraries, travel guides, and other materials provided by The Ideal are for personal use only and may not be reproduced, shared, or sold without permission.
